About BEAM

Bridge to Enter Advanced Mathematics (BEAM) creates pathways for students from low-income, low-access backgrounds to become scientists, mathematicians, engineers, and computer scientists.

We provide BEAM students the same access to high-quality preparation in STEM as their more affluent peers, and we invest deeply in our students' success, with programming from middle school through college graduation focused on joyous, exciting, and rigorous mathematics, building vibrant communities, and supporting students in key life transitions such as college admissions and financial aid.

BEAM has grown from a small summer program serving 17 students in the summer of 2011 to a year-round, national program, serving 450+ students at six summer program sites and 600+ students in year-round programming in New York City and Los Angeles this school year. In addition, our BEAM National pilot program now reaches around 1000 elementary-aged students in seven different states, working to create a new nationwide pathway modeled on our local work. We've seen our students' successes first-hand, and it's backed by data: a quasi-experimental study found that students who attended our 7th grade summer program were 1.3X as likely to declare a STEM major as a matched comparison group.

ROLE OF THE COORDINATOR, RECRUITMENT OPERATIONS

The Coordinator of Recruitment Operations is a dynamic role designed to evolve alongside our growing organization. This position supports key aspects of the recruitment and onboarding processes for BEAM’s high-volume summer staff hiring, while ensuring the integrity of our employee data collection and management systems.

Sitting within the HR team, the person in this role will work cross-functionally with HR, IT, and Finance colleagues, as well as members of the Programs Division. Because we value continuous improvement, we are looking for a team member who doesn't just execute tasks but actively seeks ways to refine our workflows and enhance the candidate experience.

KEY RESPONSIBILITIES

Recruitment and Selection Operations (60%)

  • Under the direction of the Director, Human Resources and the Manager, Recruitment and Retention and following the established marketing strategy, support sourcing work for all hiring at BEAM, including posting on external job boards and cultivating candidates on LinkedIn
  • Format job descriptions for summer roles to have a consistent appearance aligned with an established format to ensure a clear, consistent branding externally
  • Send offer letters to candidates selected for hire for summer roles with BEAM
  • Set-up requisitions for all summer positions, including ensuring the stages of the search are accurately reflected in the system, uploading hiring materials to be stored in the requisition, and preparing and posting the job ad
  • Place external ads on key external job boards to support the recruitment process
  • Support candidate communication and recruitment outreach by developing and refining assets for communications and social media posts
  • Track the status of candidates in the applicant tracking system (ATS) for all summer positions and work with hiring leads to ensure timely review and communication to all candidates
  • Conduct references checks for finalists all summer positions

Onboarding Support (15%)

  • Initiate and monitor background checks as part of the onboarding process for new hires and current employees whose most recent background check has expired 
  • Review and update summer onboarding materials annually, including coordinating with stakeholders in Programs, IT, and Finance to ensure information that will be shared with summer staff is accurate and up to date
  • Update summer onboarding tasks in BEAM’s human resources information system (HRIS), BambooHR on an annual basis to ensure instructions are clear for summer staff and tasks are assigned correctly based on summer role
  • Respond to frequently asked questions from summer staff about the onboarding process
  • Track training completion for summer staff to ensure compliance with mandatory training requirements

Data Management and Reporting (15%)

  • Create and manage annual data trackers for high volume summer recruitment in Google Sheets 
  • Update data trackers throughout the recruitment and selection process with a high degree of accuracy and attention to detail 
  • Maintain accurate data for high volume summer recruitment in Greenhouse, BEAM’s ATS to ensure it serves as a source of truth
  • Support the Director of HR in maintaining accurate employee records in BEAM’s HRIS
  • Support HR data reporting of staff demographics for external and internal reporting, including responding to data requests from BEAM’s Advancement division

Applicant Tracking System Management (10%)

  • Act as in-house expert on the use and configuration of BEAM’s applicant tracking system, Greenhouse
  • Manage Greenhouse User Accounts, including adding new hires to the system, resetting user accounts as needed, and deactivate user accounts during offboarding
  • Deliver training on Greenhouse to support new user understanding and use of the system

Other responsibilities as assigned.

  • Passion for BEAM’s mission and strong interest in being part of a team working to support underserved students and their families 

Significant pluses include

  • Experience with recruitment operations, especially in recruiting educators and/or college students in New York City and/or Los Angeles
  • Proficiency with Google Suite, Mailchimp, Greenhouse, and/or BambooHR
  • Understanding of STEM education landscape and equity issues related to STEM
  • Degrees (bachelor's or master's) in a relevant field such as human resources, organizational psychology, or business administration
  • HR certification such as SHRM-CP or HRCI

Our process, as described below, has approximately four stages and we anticipate the process lasting about 4-6 weeks in total with someone starting in the role as soon as possible, although we are flexible with the specific date.

Next steps in our process will include a short 30-minute phone interview and/or sample projects so we can get to know you and you can show us your work. We believe in the importance of demonstrated ability and providing opportunities that allow candidates to demonstrate relevant skills for the role throughout our process. The final step of our process is a final interview with the team.

SALARY, BENEFITS, AND OTHER DETAILS

The salary range for this position is $61,243 - $77,454. This is a good faith anticipated range of the job, but the actual pay will be based on any applicant’s skill and experience. 

BEAM provides a number of benefits including:

The mission of BEAM is to create pathways for students from low-income and underserved communities to become scientists, mathematicians, engineers, and computer scientists. Led by staff with these same technical backgrounds, BEAM believes that pathways to STEM careers are created through community, individual support, and access to advanced work that typically lies outside most school curricula. We work to directly support students and to transition them to other supportive enrichment programs that enable their future success.

BEAM's model provides continuous support from middle school through college graduation, including intense academic summer programs for middle school students (after 6th and 7th grade), weekend classes and mentoring, and STEM-focused support through college.
